Check duties for the nation where the waste arises

The government’s commercial waste guidance explains duties including safe storage, appropriate transfer documentation and using authorised waste handlers. Verify the rules for each location and waste type.

In England, Simpler Recycling introduced workplace separation requirements from 31 March 2025, with a later deadline of 31 March 2027 for micro-firms. Check the official scope and employee-count rules before deciding which deadline applies.

Calculate the true contract cost

Request charges for every waste stream over the same period. Include bin rental, scheduled lifts, duty-of-care administration, excess weight, contamination and additional collections.

Check annual increases, renewal, termination notice and charges for taking bins away. A low per-lift quote can become poor value if the included weight is too small for your waste.

  • Confirm access requirements and charges for failed visits.

Use a week of evidence before sizing the service

Photograph or record bin fill levels and obvious contamination over a normal trading week. Include peak periods if your business is seasonal.

Ask the collector to explain its proposed collection frequency and capacity. Too little space creates overflow; too much capacity means paying for a service you may not need.

Coordinate the contract with staff and cleaning

Agree who separates waste, moves bins, unlocks the collection area and cleans storage spaces. Write those responsibilities into the cleaning specification where relevant.

Check the first invoices against the agreed schedule and review recurring extra charges. Fix the operational cause before simply accepting a more expensive tariff.
