Compare a representative month

Gather litres purchased, fuel types, routes, preferred stations and current receipts. Include motorway purchases and exceptional journeys rather than comparing only convenient low-cost sites.

Ask each provider to explain how its prices are set and communicated. Compare the same dates and volumes, with VAT treatment presented consistently.

Look beyond the fuel price

Include card charges, account fees, transaction charges, replacement cards and any charges for non-standard sites. Ask about minimum usage and restrictions on inactive accounts.

Estimate the time and distance required to reach participating stations. A small per-litre saving may disappear if drivers routinely leave their route.

Keep business and private use clear

Set a written policy covering permitted purchases, receipts, mileage and any private use. Reconcile unusual transactions promptly rather than waiting until year end.

HMRC provides separate guidance on company cars and fuel benefits. A fuel-card invoice does not, by itself, settle the tax treatment of private fuel or replace the necessary records.

Pilot the service before a fleet rollout

Try the card on representative routes and check acceptance, reporting and support. Compare the first actual statement with the quote assumptions.

Agree who can issue, freeze and cancel cards. Retain a practical fallback for a declined card while preventing the fallback from bypassing spending controls.
